A response may pass through drafting, review, submission, and later acknowledgment. Describe which stage has occurred using the evidence available. Keep copies of the material sent and the source showing how it was delivered, when relevant. A personal note of intention does not establish that documents reached the destination, and delivery evidence does not by itself prove acceptance of the position or a favorable account change.
Preserve later communication with its purpose
An acknowledgment, request for more information, or account update can answer different questions. Keep each item with its actual date and context so follow-up does not rely only on recollection. Ask who will handle subsequent correspondence under the agreed service. Official instructions and current requirements remain relevant while a response is being reviewed. A clear record of completed actions helps explain status, but it cannot create a decision, extend a requirement, or guarantee how the IRS resolves the matter.
